Tasks

Create, track, and manage action items with priorities, due dates, and bulk operations

What is Tasks?

Tasks is Timer's built-in action item manager that helps you stay on top of everything that needs to get done. Whether it's a follow-up from a meeting, a preparation item, or a decision you need to make, Tasks gives you a single place to capture, organize, prioritize, and complete your work. Each task supports due dates, priority levels, categories, assignees, and meeting links so nothing falls through the cracks.

Pro Tip: Press N on your keyboard to instantly open the Create Task dialog from anywhere on the Tasks page. Use / to jump straight to the search bar and Escape to close any open modal.

Key Features

Quick Add

Type a task description and press Enter to instantly create a new task with default settings. No modal required for fast capture.

Priority Levels

Assign Urgent, High, Medium, or Low priority to every task. Color-coded cards make it easy to spot what matters most at a glance.

Bulk Operations

Select multiple tasks with checkboxes and complete, defer, or delete them all at once. Use Ctrl+A to select every visible task instantly.

Meeting Integration

Tasks can be linked to meetings automatically. Navigate from a meeting page and the booking is associated, keeping action items and meetings connected.

Dashboard Stats

The top of the Tasks page displays four live statistics cards that update automatically every time tasks are loaded:

  • Pending — Total number of tasks still awaiting action
  • Due Today — Tasks whose due date falls on the current day
  • Overdue — Tasks whose due date has already passed without completion
  • Completed This Week — Tasks you finished in the current week, keeping you motivated

Stat values animate smoothly when they change, giving you a clear sense of progress at a glance.

Core Workflow

Follow these steps to create, manage, and complete tasks:

  1. 1
    Create a Task

Click the New Task button in the island bar or press N. Fill in the description, set a due date, choose a priority (Low, Medium, High, or Urgent), pick a category, and optionally assign the task to someone. Click Create Task to save.

  2. 2
    Organize with Filters

Use the Status, Priority, and Date filter dropdowns to narrow the task list. Combine multiple filters for precise views such as "High priority tasks due this week." Click Reset to clear all filters.

  3. 3
    Work Through Tasks

Click the green checkmark on any task card to mark it as completed instantly. The card will animate to its completed state and the stats will refresh. To edit, click the pencil icon to reopen the modal with the task's current details.

  4. 4
    Bulk Process

Select multiple tasks using the checkboxes on the left or press Ctrl+A to select all. Then open Bulk Actions to complete, defer, or delete the selected tasks in one operation.

  5. 5
    Review Progress

Check the dashboard stat cards to see your pending, due today, overdue, and completed-this-week counts. The page auto-refreshes every 60 seconds so your numbers stay current without manual reloading.

Task Detail Panel

When you create or edit a task, a modal dialog opens with the following fields:

  • Task Description — A required multi-line text field for what needs to be done
  • Due Date — Date and time picker to set when the task should be completed
  • Priority — Select from Low, Medium, High, or Urgent
  • Category — Classify as Follow-up, Preparation, Review, Decision, or Custom
  • Status — Set to Pending, In Progress, Completed, Cancelled, or Deferred
  • Assigned To — Enter a name or email for who is responsible
  • Linked Meeting — Automatically shown when the task was created from a meeting context, displaying the associated booking

When editing, the modal title changes to "Edit Task" and the save button reads "Update Task." All existing values are pre-filled so you can quickly adjust what's needed.

Bulk Actions

When you need to process many tasks at once, bulk actions save significant time:

  1. 1
    Select Tasks

Click the checkbox on each task card you want to include, or press Ctrl+A to select all visible tasks. Selected cards are visually highlighted.

  2. 2
    Open Bulk Actions

Click the Bulk Actions button that appears in the island bar when tasks are selected. A modal shows the count of selected tasks.

  3. 3
    Choose an Action

Pick from three operations: Mark as Completed (green), Defer Tasks (yellow), or Delete Tasks (red). Delete requires an additional confirmation dialog to prevent accidental data loss.

Settings & Customization

Tasks integrates with Timer's overall settings and offers several customization options:

  • Auto-Refresh — The task list automatically refreshes every 60 seconds when the page is visible, ensuring you always see the latest data
  • Pagination — Tasks load 20 at a time. Click "Load More Tasks" to fetch the next batch without losing your scroll position
  • Priority Colors — Each priority level has a distinct color on the task card, making it easy to visually scan your list
  • Categories — Organize tasks by type: Follow-up, Preparation, Review, Decision, or Custom to fit your workflow
  • Smart Date Labels — Due dates display as friendly labels like "Today," "Tomorrow," "Yesterday," or "3 days overdue" instead of raw dates
  • Keyboard Shortcuts — Press N for new task, / to search, Escape to close modals, and Ctrl+A to select all

Filtering & Search

Timer provides powerful filtering to help you find exactly the tasks you need:

  • Text Search — Type in the search bar to filter tasks by description. Search is debounced (300ms delay) for smooth performance. Press / to focus the search bar instantly.
  • Status Filter — Show only tasks with a specific status: All Status, Pending, In Progress, Completed, Cancelled, or Deferred
  • Priority Filter — Narrow by priority level: All Priority, Urgent, High, Medium, or Low
  • Date Filter — Filter by due date range: All Dates, Due Today, Due Tomorrow, This Week, Overdue, or No Due Date
  • Combined Filters — All filters work together. For example, filter by "High priority" + "Overdue" to see urgent items that need attention
  • Reset Button — A Reset button appears whenever any filter is active. Click it to clear all filters and return to the full task list
  • Island Quick Filters — The adaptive island bar provides quick filter shortcuts for All, Pending, Due Today, and Overdue views

Best Practices

  • Set due dates on every task — Tasks without due dates can easily slip off your radar. Even a rough estimate keeps items visible in the date filters and the Overdue stat card.
  • Use priority levels consistently — Reserve Urgent for truly time-sensitive items. Overusing high priorities dilutes their impact and makes it harder to identify what really needs attention first.
  • Review overdue tasks daily — Start each day by filtering for Overdue tasks. Either complete them, update the due date, or defer them so your overdue count stays meaningful.
  • Categorize for clarity — Use the Follow-up, Preparation, Review, and Decision categories to group related tasks. This makes it easier to batch similar work together during focus time.
  • Use Quick Add for speed — When you just need to capture a thought quickly, use the Quick Add bar. You can always edit the task later to add a due date, priority, or assignee.

Frequently Asked Questions

How do I create a task from a meeting?

Navigate to the Tasks page from a meeting context (e.g., via a link on the meeting details page). The booking ID is passed as a URL parameter and automatically linked to any task you create during that session. The linked meeting will appear in the task detail panel.

Can I undo a completed task?

Yes. Click the edit (pencil) icon on a completed task to open the Edit Task modal. Change the Status dropdown from Completed back to Pending or In Progress, then click Update Task. The task will return to your active list.

What happens when I delete a task?

Deleting a task is permanent and cannot be undone. A confirmation dialog always appears before deletion to prevent accidental removal. For tasks you may need later, consider changing the status to Cancelled or Deferred instead of deleting.

How does the auto-refresh work?

The task list refreshes automatically every 60 seconds, but only when the browser tab is visible. If you switch to another tab, the refresh pauses to save bandwidth and resumes when you return. You can also manually refresh by applying or resetting a filter.

What keyboard shortcuts are available?

Press N to create a new task, / to focus the search bar, Escape to close any open modal, and Ctrl+A (or Cmd+A on Mac) to select all visible tasks for bulk actions. Shortcuts are disabled when a text input or textarea is focused so they don't interfere with typing.
