Projects

Organize work, files, tasks, meetings, and contacts in one place

What is Projects?

Projects is the workspace that organizes your work. Each project is a hub that pulls together tasks, files, meetings, contacts, signatures, and forms from your shared memory — so everything related to a piece of work lives in one place, and Pallas can see the whole engagement at once. Whether it's a client engagement, an event, or an internal initiative, you get structure without the complexity.

Pro Tip

Share personal projects with your team by using the "Share with Team" option from the project card menu. You can set access levels (View, Edit, Admin) per team so everyone has the right permissions.

Key Features

Task Management

Create tasks with priorities, due dates, and status tracking. Filter by pending, completed, or overdue to stay on top of your work.

Team Collaboration

Create team projects or share personal projects with teams. Control access levels so everyone sees what they need.

Files & Media

Attach files, upload media, and manage documents all within the project. Tag files for easy organization.

AI-Powered Generation

Use Pallas to generate presentations and content from your project summary, files, and task descriptions.

Views

Switch between views using the view toggle in the dynamic island:

  • Grid View: Visual project cards arranged in a responsive grid. Each card shows the project icon, name, description, due date, file count, meeting count, contact count, and status badge.
  • List View: A compact, scannable list layout ideal for browsing many projects at once. Shows the same information in a condensed row format.

Your preferred view is saved automatically and persists across sessions.

Ownership Filters

Use the ownership filter dropdown in the dynamic island to control which projects you see:

  • My Projects: Shows only your personal projects that you created.
  • Team Projects: Shows projects owned by your teams or shared with your teams. Team projects display a team badge with the team name and color.
  • All Projects: Combines both personal and team projects in a single view.

Your selected ownership filter is saved and remembered between sessions.

Creating a Project

  1. 1

    Open the Project Drawer

Click the "New Project" button in the dynamic island or the "Create Project" button on the empty state screen.

  2. 2

    Enter Project Details

Give your project a name (required), add an optional description, and pick a color and icon to make it visually distinct.

  3. 3

    Set Dates

Optionally set a start date and due date. Projects with upcoming due dates show a "due soon" indicator, and overdue projects are flagged automatically.

  4. 4

  5. 5

    Save

Click "Save Project" to create it. You will be returned to the project list where your new project card appears.

Click on any project card to open the full Project Details page. From there you can manage every aspect of the project:

  • View and edit the project summary to describe goals and scope

  • Manage external upload requests from clients or collaborators
  • View the activity log for a complete audit trail of all changes

Sharing & Team Access

Projects supports two types of team collaboration:

  • Team Projects: Created directly under a team. All team members can see and interact with these projects based on their team role.
  • Shared Projects: Personal projects shared with one or more teams. You retain ownership and can set different access levels per team.

Access levels for shared projects:

  • View: Team members can see the project and its contents but cannot make changes.
  • Edit: Team members can modify the project, add files, create tasks, and link items.
  • Admin: Full control including the ability to manage project settings and sharing.

Find projects quickly using multiple filtering options:

  • Status Tabs: Filter by All, Active, Completed, or Archived using the filter bar below the hero section.
  • Search: Type in the search bar to instantly filter projects by name or description. Search is debounced for smooth performance.
  • Ownership Filter: Use the dropdown in the dynamic island to toggle between My Projects, Team Projects, and All Projects.

All filters work together - you can search within a specific status and ownership filter simultaneously.

Stats

The hero section displays four live stat counters that update based on your current ownership filter:

  • Active: Number of projects with "Active" status
  • Completed: Number of projects marked as completed
  • Archived: Number of projects that have been archived
  • Tasks: Total number of projects in the current view (personal, team, or all)

Inside each project, the details page shows stat blocks for Tasks, Files, Media, Meetings, People, Signatures, Forms, and Uploads.

Settings & Customization

Each project can be customized to match your workflow:

  • Color: Choose from 8 preset colors (purple, blue, green, yellow, red, pink, indigo, slate) to color-code your projects.
  • Icon: Pick from 32 icons (folders, briefcase, rocket, code, globe, and more) to visually identify each project at a glance.
  • Status: Set projects to Active, Completed, or Archived. You can change status anytime from the edit drawer or the project details page.
  • Dates: Set start and due dates. Overdue projects and projects due within 7 days are visually flagged on the card.
  • Project Settings: Access additional settings from the more menu on the project details page, including archive, mark complete, and delete actions.

Best Practices

Write a Project Summary

A detailed project summary not only keeps you organized but also powers Pallas AI to generate better presentations and content tailored to your project.

Use Color and Icon Coding

Assign distinct colors and icons to different project types (e.g., blue for client work, green for internal, red for urgent) so you can identify them instantly in grid view.

Break Work into Tasks

Use the built-in task manager with priorities and due dates to track deliverables. Filter by overdue tasks to catch anything slipping through the cracks.

Link Everything to the Project

Connect meetings, contacts, signatures, and forms to the project so your team has a single source of truth without switching between apps.

Archive When Done

Mark completed projects as Archived to keep your active view clean. Archived projects remain fully accessible through the Archived filter whenever you need to reference them.

Frequently Asked Questions

What is the difference between a personal project and a team project?

A personal project is private to you by default. A team project is created under a team and is visible to all members of that team. You can also share a personal project with teams to give them view, edit, or admin access.

Can I move a personal project to a team?

You cannot transfer ownership, but you can share a personal project with any team using the "Share with Team" option. You retain ownership while team members get the access level you choose.

What happens when I delete a project?

Deleting a project permanently removes it and all associated data including tasks, linked items, and upload requests. This action cannot be undone, so consider archiving instead if you might need the data later.

How does Pallas AI work with projects?

Pallas reads your project summary, attached files, and task descriptions as context. You can then generate presentations (slide decks) or written content directly from the project details page without re-explaining your project.

Is there a limit to how many projects I can create?

There is no hard limit on the number of projects. Create as many as you need to organize your work. Use status filters and search to keep things manageable as your list grows.
