Creating Deals
There are two ways to create deals:
-
1
Graduate from Pipeline (Recommended)
When you mark a Pipeline item as Won, click "Graduate to Deal". This automatically creates a deal with all the item's information including contact, company, value, and activity history.
-
2
Create Manually
Click "Graduate from Pipeline" on the Deals page to see won items waiting to be converted, or create a new deal from scratch if needed.
Deal Details Drawer
Click any deal to open its details drawer with three tabs:
- Details Tab: View deal information, contract details, linked person/company, and source pipeline info
- Payments Tab: See payment progress bar, add milestones, mark payments as paid, and track payment history
- Activity Tab: Log calls, emails, meetings, and notes. View complete activity timeline
Payment Tracking
Track payment milestones throughout the deal lifecycle:
-
1
Add Payment Milestones
Create milestones like "Deposit", "Phase 1 Completion", "Final Payment" with amounts and due dates.
-
2
Track Progress
The visual progress bar shows how much has been paid vs total due. Overdue payments are highlighted.
-
3
Mark as Paid
Click the check icon on any payment milestone to mark it as paid. This updates the deal's payment status automatically.
Deal Status & Lifecycle
Deals progress through these statuses:
Active
Deal is ongoing - deliverables in progress, payments expected
Completed
All deliverables complete, all payments received. Deal is locked from editing.
On Hold
Temporarily paused - waiting on client, resources, or other factors
Cancelled
Deal terminated - refund issued, contract voided, or other termination
Completed Deals
When you mark a deal as Completed, it becomes read-only. If you need to make changes, use "Reopen Deal" to change status back to Active first.
Deal Health Score
Every deal has a 0-100 health score based on:
- Payment Status - Overdue payments reduce health significantly
- Activity Recency - Deals without recent activity score lower
- Contract End Date - Approaching end dates may need attention
70-100: Good Health
Payments on track, recent activity, no immediate concerns
40-69: Needs Attention
Some payments late or no recent activity - check in soon
0-39: Critical
Major payment issues or significant inactivity - immediate action needed
