Help Center Availability

Availability

Set your weekly schedule, apply quick templates, and let guests book only when you are free

What is Availability?

The Availability page is where you define the windows of time during which guests can book meetings with you. Using an interactive weekly calendar grid, you drag to create time blocks for each day, apply pre-built templates for common schedules, and configure your time zone so every booking aligns with your real-world hours. Changes auto-save after a brief pause, and your booking page instantly reflects the schedule you set here.

Pro Tip: Use the keyboard shortcut Ctrl + S (or Cmd + S on Mac) to force an immediate save at any time. The page also auto-saves 1.5 seconds after your last change, so you never have to worry about losing work.

Key Features

Drag-to-Create Calendar

Click and drag on any day column in the weekly grid to create a new availability block. The grid spans 6 AM to 10 PM in 30-minute increments, giving you fine-grained control over your schedule.

Quick Templates

Apply one-click schedule templates like Working Hours (Mon-Fri 9-5), Mornings Only, Afternoons Only, Evenings, or Weekends. Templates replace your current schedule instantly after confirmation.

Resize and Move Blocks

Drag the top or bottom edge of any time block to resize it. Drag the block itself to move it to a different day. The grid snaps to 30-minute increments for clean scheduling.

Time Zone Aware

Your time zone is auto-detected on first visit and can be changed at any time via the Time Zone selector. All availability blocks display in your local time, and guests see slots converted to their own zone.

How to Set Your Availability

  1. 1

    Choose a Starting Point

If you are setting up for the first time, use a Quick Template to populate your week with a common schedule. Select Working Hours, Mornings Only, Afternoons Only, Evenings, or Weekends to get started fast.

  2. 2

    Fine-Tune on the Calendar Grid

Click and drag on the weekly calendar to add new time blocks, or drag the edges of existing blocks to resize them. Each block must be at least 30 minutes long. Overlapping blocks are not allowed and will show a warning.

  3. 3

Use Day Toggles for Quick Control

Click the toggle icon in any day header to add default working hours (9 AM - 5 PM) to that day, or remove all availability for that day if blocks already exist. This is the fastest way to enable or disable entire days.

  4. 4

    Review Your Stats

Check the stat cards at the top of the page: Hours This Week shows your total available hours, Next Free Slot shows when your next open window is, and Bookings This Week shows how many meetings are already scheduled.

  5. 5

    Let Auto-Save Handle the Rest

Every change you make triggers an auto-save after 1.5 seconds of inactivity. The save indicator in the toolbar shows Saved when complete. If you see Save with a pulse, click it to save immediately.

Quick Templates

Quick Templates let you populate your entire weekly schedule with a single click. When you apply a template, it replaces all existing blocks after you confirm the action:

Working Hours

Monday through Friday, 9:00 AM to 5:00 PM. The most common schedule for professionals who take meetings during business hours.

Mornings Only

Monday through Friday, 9:00 AM to 12:00 PM. Ideal if you reserve afternoons for deep work or other commitments.

Afternoons Only

Monday through Friday, 1:00 PM to 5:00 PM. Perfect for those who prefer to keep mornings meeting-free.

Evenings

Monday through Friday, 6:00 PM to 9:00 PM. Suited for consultants or coaches who meet clients after standard work hours.

Weekends

Saturday and Sunday, 10:00 AM to 4:00 PM. Use this if your meetings primarily happen on weekends.

Clear All

Removes every availability block from all seven days. Use this to start from scratch when your schedule changes significantly.

Calendar Grid Interaction

The Weekly Schedule grid is the core of the Availability page. Here is everything you can do with it:

  • Drag to create - click and drag vertically on any day column to create a new availability block. A ghost preview shows the block size as you drag.
  • Resize blocks - hover over the top or bottom edge of a block to reveal resize handles, then drag to extend or shorten the time window.
  • Move between days - drag any block horizontally and drop it onto a different day column. If it conflicts with an existing block, the move is rejected with a warning.
  • Click to select - click a block to select it. Hold Ctrl (or Cmd) and click to multi-select blocks for bulk deletion.
  • Double-click to edit - double-click any block to manually enter precise start and end times.
  • Right-click for actions - right-click a block to access Edit, Delete, and Duplicate actions from a context menu.
  • Copy Week - use the Copy Week button in the widget header to copy the current week's availability to all meeting types.
  • Toggle All - use the Toggle All button to either clear all blocks (if any exist) or apply working hours (if the grid is empty).

Stats Cards

Three stat cards at the top of the page give you a real-time summary of your availability and booking status:

Hours This Week

The total number of available hours calculated from all active time blocks across the seven-day grid. This updates instantly as you add, resize, or remove blocks.

Next Free Slot

Shows when your next available time window starts. This is fetched from the server and accounts for existing bookings, so it reflects actual open slots guests can reserve.

Bookings This Week

The number of confirmed bookings you have for the current week. Helps you gauge how full your schedule is compared to your total available hours.

Time Zone Settings

Timer automatically detects your browser's time zone when you first visit the Availability page. You can change it at any time:

  • Click the Time Zone button in the toolbar or dynamic island to open the time zone selector
  • Use the search field to filter the list of supported time zones by name
  • Click a time zone to select it, then click Save Time Zone to confirm
  • Your selection is saved to the server and applies across all Timer pages including your booking page
  • Guests always see your availability converted to their own local time zone automatically

Keyboard Shortcuts

Power users can manage availability faster with these keyboard shortcuts:

  • Ctrl + S (Cmd + S on Mac) - Save availability immediately
  • Ctrl + A (Cmd + A on Mac) - Select all time blocks
  • Delete / Backspace - Delete selected time blocks
  • Enter - Edit the currently focused time block
  • Escape - Clear the current selection

Best Practices

Start with a Template

Rather than building your schedule block by block, begin with the template that best matches your routine, then adjust individual days as needed. This saves significant setup time.

Add Buffer Time

Avoid making every hour of your day available. Leave gaps between blocks so you have breathing room between back-to-back meetings for notes, breaks, and preparation.

Verify Your Time Zone

Double-check that your time zone is set correctly before sharing your booking link. A misconfigured zone means guests will see the wrong available times and bookings will land at unexpected hours.

Review Weekly

Make it a habit to review your availability at the start of each week. Toggle off days where you have conflicts, and extend hours on lighter days to maximize booking opportunities.

Use the Master Toggle

When you need to go offline temporarily — vacation, sick day, or focus time — use the availability toggle to mark yourself as unavailable without deleting your schedule. Turn it back on when you are ready.

Frequently Asked Questions

How does auto-save work?

Every time you create, resize, move, or delete a time block, a 1.5-second timer starts. When the timer expires without further changes, your availability is saved to the server automatically. The save indicator in the toolbar confirms the status: a pulsing Save button means unsaved changes, a spinner means saving, and a checkmark means saved.

What happens if I navigate away with unsaved changes?

Timer intercepts link clicks when you have unsaved changes and shows a confirmation dialog. You can choose to save before leaving or discard the changes. This prevents accidental data loss.

Can I have multiple blocks on the same day?

Yes. You can create as many non-overlapping blocks per day as you need. For example, you might have a 9 AM - 12 PM block and a 2 PM - 5 PM block on Monday, leaving a lunch break in between. Overlapping blocks are not permitted and will trigger a warning.

What is the minimum block size?

The minimum availability block is 30 minutes when created by dragging on the calendar. When editing a block manually via double-click, the minimum is 15 minutes. The calendar grid uses 30-minute increments from 6:00 AM to 10:00 PM.

Do templates delete my existing schedule?

Yes. Applying any Quick Template replaces all existing blocks across all seven days. Timer shows a confirmation dialog with a preview of the template schedule before applying. If you only want to adjust one day, use the day toggle or drag on the calendar instead.
